
An estimating computer disaster recovery plan gets tested at 2:15 p.m. on bid day, when the primary PC dies. The drawings are backed up, which is good. But can another PC open the estimate, use the right cost database and templates, print to the plotter, and produce the bid package before the deadline?
That is the real estimating computer disaster recovery test. A folder full of files is only one layer. The working environment also includes identities, software editions, licenses, settings, plug-ins, custom tools, mapped locations, and output devices.
For a Pueblo or Colorado Springs contractor with one primary estimator, this is a small system with a very large job. The recovery plan should prove that the job can move, not simply that the data exists somewhere else.
Estimating computer disaster recovery starts with the finish line
Choose one representative bid that is already closed and safe to use for testing. The recovery test is complete when a second computer can open a copy, perform a normal takeoff or estimate change, create the expected PDF or spreadsheet, and reach any required printer or plotter. No live bid should be changed during the rehearsal.
Write down the acceptable recovery time before the test. A business that can wait until tomorrow needs a different plan from one that regularly receives same-day addenda. The time should come from the bidding workflow, not from a product brochure.
CISA's StopRansomware Guide recommends more than data copies. It calls out prepared system images, application installers, and license information because recovery sometimes means rebuilding on different hardware. That is the right frame here: files, applications, access, and a clean place to run them.
The five layers that have to come back
Start with a short inventory built around the estimator's actual day:
- Identity: the employee's business account, multifactor authentication method, backup sign-in method, and access to the software vendor portal.
- Application: exact product, edition, supported version, installer source, required plug-ins, and the person or company that owns the subscription.
- Data: current estimates, plan sets, assemblies, cost databases, templates, reports, and any application database that needs its own backup process.
- Customization: tool sets, profiles, stamps, plot styles, macros, saved reports, and local folders that do not sit beside the obvious project file.
- Output: PDF creation, spreadsheet export, email handoff, printer or plotter drivers, paper sizes, and network paths.
Record who owns each layer. A password saved only in the dead computer's browser is not available. A software seat assigned to a former employee can delay activation. And a template on the Desktop may never have joined the project folder that everyone thought was protected.
A recovery is successful when the estimator can finish the work, not when IT can point to a restored folder.
Cloud files can still leave an estimator waiting
Web-based estimating and project platforms can make a replacement easier because the application runs in a browser. They still depend on a working identity, the right project role, multifactor authentication, and access to any local downloads or companion software.
Desktop software has more moving parts. Be careful with the friendly Windows Backup screen too. Microsoft's current Windows Backup guide says the app is focused on consumer devices and does not accept work or school accounts. It may help a personal Microsoft account remember apps and settings, but it is not a managed business-PC recovery plan.
OneDrive also makes online-only files visible in File Explorer. Microsoft's Files On-Demand guide explains that an online-only file is not stored on the PC until it is opened or marked to remain available. That is useful for saving disk space. It also means your spare-PC test should include internet access, sync status, and the files needed for offline work.

Back up the application around the bid
Estimating tools store useful work outside the project folder. Bluebeam is a good example. Its Revu 21 backup guide separates preferences, profiles, tool sets, stamps, and advanced printer settings. Bluebeam also says digital IDs are not included in the normal settings backup and need separate handling.
AutoCAD has similar limits. Autodesk's current transfer guidance says settings packages do not move cleanly across every release, product, or language, and drawing templates may require separate copying. Your estimating program may have different rules. Use its supported export or database backup, keep the instructions with the recovery record, and test the exact version you intend to restore.
Verify encryption recovery before a failure. Microsoft says a BitLocker recovery key may be stored with the organization's work account, but Microsoft Support cannot recreate a lost key. Confirm that an authorized person can retrieve the correct key by its ID through the documented BitLocker recovery process. Do not store the only copy on the encrypted computer.
Licenses need the same treatment. Record the organization-owned vendor account, assigned user, renewal state, and support contact. Do not assume a perpetual license can move to new hardware or that a subscription seat is assigned correctly. The rehearsal should prove the entitlement without sharing one employee's password.
Test estimating computer disaster recovery before bid week
A spare does not have to be the estimator's next full-time workstation. It does need enough memory, storage, graphics capability, and screen space to run the representative workflow without turning every click into a wait.
- Start with a clean, supported Windows installation and current security updates.
- Sign in with the test user's business identity and a documented recovery method.
- Install the approved application version from a trusted vendor or managed software source.
- Restore a copied test estimate and the application's supported settings or database backup.
- Open the plan set, make a harmless test change, and generate the expected output.
- Confirm the plotter, PDF driver, shared folders, and any required add-ins.
- Record elapsed time, missing pieces, manual steps, and the person who fixed each gap.
Do not clone an old, unhealthy machine and call the test done. An image can be useful when the backup product supports restoring it to replacement hardware, but a clean-build path often exposes undocumented dependencies more honestly. The right answer may include both.
Treat a suspicious failure differently from broken hardware
If the PC simply will not power on, a clean replacement and verified backup may be the fastest route. If files have strange extensions, a ransom note appears, security tools alert, or other computers show the same symptoms, stop treating it as an ordinary hardware swap.
CISA recommends isolating affected systems and restoring critical services on a clean network while taking care not to infect recovery systems. Do not connect backup media to a computer that may still be compromised. Do not wipe or reinstall the failed system before the incident lead decides whether logs or other evidence need to be preserved.
This is where cybersecurity response and recovery planning meet. The estimator needs a safe path back to work, and the business needs confidence that the replacement is not carrying the same problem.
Keep one application-ready recovery record
The useful record is short enough to follow under pressure. List the replacement hardware requirement, installer location, license owner, identity recovery path, data source, application-specific backup, peripherals, last successful test, measured recovery time, and unresolved gaps. Review it after a major software upgrade, license change, or workflow move.
